Running a small business means wearing many hats. Finding ways to save time without compromising your values is key. As a solopreneur, I used to spend 10+ hours per week on my blog. That's a huge chunk of time for anyone, let alone someone managing every aspect of their business. Now, thanks to AI, that time is cut by more than half, leaving me with 3-6 hours a week. This isn't about letting AI take over. It's about smart, ethical use that supports your unique voice and ideas.

​I could have my entire blog written by AI. I could tell AI my audience, give style guidelines and ask it to come up with a weekly schedule for the year, and then have it generate an article each week. Not only do I believe this is unethical, but I believe the writing process helps me develop my ideas and share my expertise. This connection to my own thoughts and the years of learning I've dedicated to my field is incredibly important to me. As a solopreneur, I find the support of AI invaluable. Without a team to review my writing, I can easily write things that don’t send the intended message. AI serves as a sounding board to double-check that my writing is expressing the message I intend and for whom I want to receive the message.

My Unique Writing Process: A Blend of Human Insight and AI Efficiency

Before diving into the ethical do's and don'ts of AI, it's essential to understand my personal approach to content creation. My blog isn't just about sharing information; it's about connecting with my audience through my distinct perspective, which is deeply rooted in years of dedicated learning and practical experience. This foundation is what AI helps me refine and present more efficiently.

Learning and Consuming Information: The Foundation of My Expertise

My writing process truly begins with a relentless pursuit of knowledge. I am constantly reading, listening to podcasts, and researching business topics, mindset, well-being, leadership, etc. This isn't a casual hobby; it's a core part of my values and identity. I take copious notes using Notion, and I link them all with a combo of Zettelkasten and PARA. This meticulous note-taking system ensures that every valuable insight, every research finding, and every "aha!" moment is captured and easily retrievable. (every, is not really possible, but attempted!)

​If I find even non-related content could have a lesson I find applicable to business owners, I make sure to capture it in Notion. My brain is always looking for connections, for ways to simplify complex ideas for small business owners. Quite often I get bombarded with ideas when I am running and have time to mull over the ideas in my head, so I run straight into my office to capture the thoughts. These moments of clarity, while exercising or just letting my mind wander, are where genuine, unique ideas are born—ideas that AI simply can't replicate. My ability to make these connections is a direct result of the breadth and depth of my years of learning on various topics.

Planning My Topics: Strategic and Intuitive

My content planning is systematic yet flexible. I work around a framework I developed called FLOW, and each month I write on one overarching theme. Within that monthly theme, I pick one specific aspect for each week of the month. The topics are based on inspirations from the content I am consuming and my years of learning on the topic. This ensures that my content is not only timely but also reflects the accumulation of my knowledge and insights.

As ideas for topics pop into my head, I think about my calendar and how the topic fits into my FLOW schedule. I write the potential topic for the week it seems appropriate in a Notion calendar for my content. I will have the whole month’s content planned out before it starts. For example, I schedule one FLOW topic each month, and there are 4 weeks in each month. This cycle repeats each quarter with new weekly topics. This structured approach allows me to maintain consistency while ensuring a steady stream of valuable content.

Planning My Topics: Strategic and Intuitive

Ideally, I would batch write all the month’s articles in one sitting, but often, I end up writing everything the week I publish it. My process for fleshing out a topic starts with a comprehensive brain dump. I essentially brain dump everything I want to talk about for the topic. This is where my years of accumulated knowledge truly come into play. I'm not just pulling ideas from thin air; I'm tapping into the deep well of my past reading, research, and practical experience. This initial unfiltered outpouring is crucial for capturing the raw essence of my thoughts.

After this brain dump, I connect on the topic and use the search feature in Notion to find other notes that I have taken in the past which are related that I may have forgotten. This is a direct application of Tiago Forte's Second Brain methodology (affiliate link), which emphasizes connecting ideas and leveraging your accumulated knowledge. Using Notion, I can copy in notes that are related and even refer to previous content I have created on the topic. This ensures that my current blog post is enriched by, and builds upon, my extensive body of work and years of dedicated learning.

​This entire initial phase—from consuming information and taking notes to planning topics and brain dumping—is entirely human-driven. It's where my unique perspective, my values, and my accumulated expertise truly shine. And this brings us to where AI enters the picture, not as a replacement for this valuable human element, but as a powerful tool to enhance it.

Ethical AI: How I Use It to My Advantage

Here are five ways I ethically use AI to make my blogging process more efficient and effective, always ensuring my authentic voice and hard-earned expertise remain at the forefront:

  • Fact-Checking and Research Support: While my primary research is human-led and deeply embedded in my years of learning, AI can be a quick assistant for specific queries. Usually it is research I am already familiar with but I don’t have the notes and can’t remember the study. For instance, if I'm discussing a specific statistic or a known psychological principle that I've learned about over the years but can't immediately recall the source, I have AI help me find the sources. This saves me valuable time digging through old notes or browser history. However, a crucial ethical guideline here is paramount: I always go back and check. AI does lie after all. I never take AI's output at face value, especially when it comes to facts, figures, or attributed quotes. My commitment to providing accurate and reliable information, stemming from my thorough research background, means that every piece of information AI helps me locate is verified. This ensures the integrity of my content and reinforces the trust my audience places in my expertise.
  • Organization and Edits: Once I feel I have all my ideas on the topic that I want, I have various prompts to throw into AI to help me organize my thoughts. This is where AI becomes an invaluable organizational assistant, not a creative director. I clearly define the parameters for the AI: For example, I tell AI my audience, my message, the form of writing (blog post), how long (e.g., "around 1500 words"), how I want it organized (e.g., "introduction, main points with subheadings, conclusion"), how many words, my tone (e.g., "approachable, informative, inspiring"), and style (e.g., "direct, conversational"). I ask it to help organize in logical format and to suggest bullet points and headers (however, I usually prefer to start with some). I also tell AI to “use my exact words”. This is where I save a large amount of time. Before, I would spend hours reorganizing and rewording my blog. This step alone has drastically cut down my writing time. The AI takes my sprawling brain dump—infused with my unique ideas and years of learning—and presents it in a structured way that's easier to work with. It's like having a very efficient administrative assistant who helps you sort and categorize your thoughts, leaving you to focus on the content itself. Once AI spits out a version, I then have conversations with AI to continue editing the article in AI. This is where the iterative process happens. I don't just accept the first draft. I engage in a dialogue with the AI, much like I would with a human editor. By working in AI, it learns my preferences so that each subsequent article is more to my liking. This "learning" aspect is key; the more I interact with a specific AI, the better it understands my unique voice, my preferred sentence structures, and even the subtle nuances of my tone. I always use the same AI so that it learns from my past articles and responses. This ensures consistency and makes the editing process progressively faster and more aligned with my style.
  • Streamlining Final Edits: Even after working with AI to refine the draft, the human element of editing is non-negotiable. I always end by copying my final AI copy back in Notion and reworking and editing the final version to my preferences. This final pass is critical for ensuring the content truly sounds like me, embodies my values, and effectively communicates the years of learning and experience I bring to the table. It's where I infuse the last layer of my personality, refine any phrasing that feels too "AI," and ensure every sentence serves my specific purpose. This flexibility to completely override AI's suggestions and re-inject my human touch is crucial. It ensures that the final output always reflects my years of cultivated expertise and personal insights, rather than a generic AI-generated prose.
  • SEO and Social Media Content: This is an area where AI's efficiency truly shines, allowing me to leverage its capabilities without compromising the core message or my authenticity. I do pretty much let AI come up with all the language for SEO or to share on social posts. I will give it prompts to guide what I want it to say about my article and I will ask for several versions to choose from. For example, I might tell it, "Generate five catchy social media posts for Instagram and LinkedIn, highlighting the time-saving benefits of AI for small business owners, using a friendly and empowering tone." Or, "Suggest five SEO-friendly blog titles that include 'small business systems' and 'AI efficiency.'" This offloads the often-tedious task of crafting multiple variations of promotional copy, allowing me to maintain my focus on creating valuable content. It ensures my articles get the visibility they deserve without me having to spend extra hours on promotional writing.
  • Acknowledge AI. One of the reasons I wrote this blog was to admit to using AI in my writing. I now also post on my blog a footer saying I use AI. People no longer know what is and isn’t AI. I think the assumption is that AI has a touch in most content these days. I want people to know that I use it, and this article serves to show how. Most social media platforms now have a button to acknowledge AI, but it is tricky as some people create 100% with AI and others use it about 5%. On my blog, I am able to say it is partially used, and now I have this article to show how.

The key is that the AI is working from my human-generated content and under my clear direction, rather than creating content from scratch.

​This whole process still takes several hours and is the most time-consuming part of my work week outside of direct client work. I could save even more time by using AI more extensively, but I want to maintain my high-touch, and I still save several hours a week. If I had an assistant, that person would probably be doing a lot of what AI is doing, but AI is cheaper. AI does save me time, and I believe it usually helps improve my writing. It frees me up to focus on the higher-level strategic thinking and client work, which are irreplaceable.

Unethical Pitfalls: What to Avoid

It’s easy to fall into traps when using AI, especially for content creation. For small business owners who value authenticity and ethical leadership, understanding these pitfalls is as important as understanding the benefits. Here are two unethical pitfalls I actively avoid to maintain my blog's authenticity and integrity, and why they are critical for preserving your unique brand and the value of your years of learning:

  • Using AI for Idea Generation: This might surprise many, as AI is often touted for its brainstorming capabilities. However, I find that aspect limiting. For some reason, when I ask AI for a list of ideas or an outline, it narrows, rather than broadens my thinking. When I see the list AI comes up with, I tend to look at and use that list instead of coming up with my own ideas. My unique insights and the connections I make are a direct result of my years of learning, running thoughts through my mind, and applying my accumulated knowledge to the challenges small business owners face. And one of the things I enjoy about blogging is the chance to formulate my own thoughts, make my own connections and demonstrate the years of learning I have on the topics I write on. If I rely on AI for ideation, I risk producing generic content that lacks the depth, nuance, and personal touch that defines my brand and reflects my unique expertise. Ethical content creation means bringing your own original thoughts to the table, not just repackaging AI's suggestions.
  • Fully Automating Content Creation: This is perhaps the biggest and most critical pitfall. As I admitted, I could have my entire blog written by AI. Technologically, it's possible to prompt an AI with a topic and have it generate a full article. However, I choose not to. Why? Because I enjoy the writing process in how it helps me develop my ideas and share my expertise. More importantly, my blog's purpose is to share my unique insights, informed by my values and the extensive learning I've undertaken. If AI writes the entire piece, it's no longer my voice, my unique perspective, or the distillation of my years of experience. It becomes generic content, indistinguishable from countless other AI-generated articles. This is not only unethical from a transparency standpoint (are you presenting AI's work as your own?), but it also devalues your brand. A values-driven business leader builds trust through authenticity.4 Passing off fully AI-generated content as your own undermines that trust. My blog is about sharing my unique insights, not generic AI-generated content. My goal is to leverage AI as a tool to amplify my human output, not replace it entirely.

Application Tips for Your Business

Implementing AI effectively and ethically in your business, especially for content creation, requires a mindful approach. Here are practical tips to help you integrate AI while upholding your values and ensuring your unique voice shines through:

  • Stick to One AI Tool: Use the same systems so it has your history and gets to know you. There are many options available now, and many people like to bounce back and forth between ChatGPT, Claude, Perplexity, etc. However, by sticking with one, it will get to know you and your preferences. This familiarity allows the AI to better understand your tone, style, and even your unique vocabulary over time. It creates a more personalized and efficient working relationship, ultimately saving you more time in the long run as you'll spend less time correcting or retraining it.
  • Craft Specific Prompts: This is arguably the most important skill in working with AI. Use AI to help you come up with prompts that give you specifically what you want. Think of AI as a brilliant but literal assistant. It can only work with the instructions you give it. The more specific, detailed, and clear your prompts are, the better the AI's output will be. Instead of "write a blog post," try "Draft an introduction for a blog post about time management for solopreneurs, using a warm and encouraging tone, referencing the challenge of wearing many hats, and aiming for 200 words." This precision ensures the AI produces content that aligns closely with your vision and years of developed ideas. Once you get a prompt that suits your needs, save it to reuse it. I use TextBlaze to easily reuse prompt.
  • Guide the AI to Ask Questions: Tell the AI to ask you questions one by one. This can be incredibly helpful for developing business tools like your brand messaging that your AI tool can store and use to guide it in helping you with your content. By prompting the AI to ask clarifying questions, you force yourself to articulate your ideas more precisely. This provides the AI with more context and helps you develop your concepts further, even if the AI isn't generating the initial ideas. It’s a dynamic brainstorming session where you remain in control.
  • Demand Your Own Words: Tell the AI to use your exact words. This is crucial for maintaining your unique voice and ensuring your message is conveyed precisely. You want your audience to hear your voice, not a generic AI one. This command helps the AI weave your specific language into its output, ensuring authenticity.
  • Focus on Formatting and Clarity: Ask it to help you for formatting and to point out parts that need clarification. AI can be excellent at suggesting logical structures, breaking down long paragraphs into bullet points, or proposing subheadings. This improves readability for your audience and helps you organize your thoughts more effectively. Additionally, having AI highlight areas that lack clarity forces you to revisit and strengthen your explanations, drawing upon your years of expertise to simplify complex ideas.
  • Always Fact-Check: This cannot be stressed enough. Look for the resources to fact check and confirm what it is saying. Don’t believe any facts or research it reports back to you! AI models can "hallucinate" information, meaning they can confidently present false information as fact.5 Your credibility as a business owner and content creator hinges on accuracy. Any data, statistics, studies, or direct quotes provided by AI must be verified against original, reputable sources. This is a non-negotiable step in ethical AI usage.
